Municipal Preventative Maintenance Software

for public works departments and utility authorities

Keep your municipality's pumps, vehicles, hydrants and buildings running with preventative maintenance software built into Diversified Municipal Center. Each asset's schedule starts from the manufacturer's recommended maintenance, which your municipality can add to or change. The Master Calendar turns it into preventive maintenance work orders on a crew member's phone or tablet, and Diversified sets up the workflow around your assets, your crews and the intervals your departments already follow.

Keep everything running with municipal preventative maintenance software

A grinder pump that fails at 2 a.m. costs a crew's overtime, an emergency part and a resident's basement. A grinder pump serviced on schedule usually costs one planned visit. Diversified Municipal Center puts every service interval on the Master Calendar, so the visit happens before the failure.

Asset management and preventative maintenance work as two parts of one system. The maintenance requirements on each asset record in Asset Management set the schedule. When service comes due, the calendar generates the work order, and the finished work can go back onto the asset's history.

On the calendar, on time

Every pump, vehicle and building has its next service date on the Master Calendar, color-coded with the department's other work.

Ready before they leave

Crews get each task on a phone or tablet before they head out to the station or the garage.

A record of every visit

Supervisors see every open work order on their dashboards, and finished work can build a record for the next budget meeting or audit.

Questions about preventive maintenance software for municipalities

What is preventive maintenance software?

Preventive maintenance software schedules routine service on equipment by date, mileage or hours of use, sends each task to the person who does it, and keeps a record of the work. The U.S. Department of Energy defines preventive maintenance as work done on a time-based or run-time schedule to slow wear and extend an asset's useful life.

Is it preventative or preventive maintenance?

Both are correct and mean the same thing. Federal guidance from the EPA and the Department of Energy uses "preventive," and many municipalities write "preventative."

How does Diversified handle preventative maintenance for a municipality?

Each asset's maintenance schedule appears on the Master Calendar and generates the preventive maintenance work orders. Diversified builds the rest of the workflow for your municipality, including who receives each work order, what needs a supervisor's review, and how finished work is reported.

Can we start from the maintenance schedules we keep now?

Yes. Send Diversified your current asset spreadsheet and we load it, and calendars and schedules kept in Outlook or Excel can be imported to the Master Calendar.

Do field crews need a computer to use it?

No. Work orders run on Android and Apple phones and tablets, and crews can add photos from the field. One app serves every department, so a tablet can hold a meter-read work order from billing beside a pump maintenance work order.

Can maintenance be scheduled by mileage or hours of use?

Yes. A workflow can start a work order from a reading, such as an oil change every 5,000 miles, as well as from a date on the Master Calendar.

Can a reading taken during maintenance start another work order?

Yes. A task can ask the crew member to record readings, such as tire pressure and tread depth, and a reading outside its limit can start a new work order, such as replacing the tires.

Where do the maintenance schedules come from?

Each schedule starts from the manufacturer's recommended maintenance on the asset's record, and your municipality can add to it or change it.

What does preventative maintenance software cost?

Asset Management & Preventative Maintenance is listed in the Local Government Package at $6 per property per year and the Utility Authority Package at $3 per property per year, with unlimited users, hosting and support. The pricing page also lists Preventative Maintenance among the processes, which carry a one-time implementation fee, and a custom demo walks through the cost for your municipality.

How a preventive maintenance workflow runs

Service intervals differ by asset, so a lift station pump, a snow plow and a fire hall furnace can each follow their own cycle. A preventive maintenance workflow can run like this:

  1. Each asset's maintenance requirements come from its record, starting with the manufacturer's recommended schedule and any changes your municipality makes.
  2. The schedule goes on the Master Calendar. Schedules you already keep in Outlook or Excel can be imported.
  3. When service comes due, the Master Calendar generates the work order and sends it to the assigned crew member's phone or tablet.
  4. The crew member does the work and records what the task asks for, such as a mileage reading or tire measurements.
  5. A reading outside its limit can start another work order, and a rule at each step decides what runs on its own and what goes to a supervisor for review.
  6. The completed work order returns to the asset's record, so the next visit starts from the full history.

Take a police cruiser due for an oil change every 5,000 miles. At the service, the mechanic records a mileage of 127,324, tire pressures of 34, 34, 33 and 21, and tread depths of 6/32, 5/32, 3/32 and 5/32 inch. The low tire and the worn tread can start a second work order to replace the tires, without anyone having to remember to write it.

What a preventative maintenance workflow does

  • Assigns maintenance tasks. The workflow draws on each asset's maintenance requirements and uses the Master Calendar and work orders to direct the work to the right crew member on the right day.
  • Tracks that the work was done. Each task stays open until the work order is completed, so supervisors can see on their dashboards what is done and what is overdue.
  • Recommends the next action. Readings gathered during a task, such as mileage, tire pressure or a pump's run hours, can trigger the next work order, from new tires to a closer look at a pump.

Public works and municipal fleet maintenance software

A public works department services plows, mowers, dump trucks, police cruisers and generators on different clocks, some by date and some by miles or hours. Each piece of equipment can carry its own interval, and the Master Calendar puts the garage's whole week in one view, beside the department's street, park and building work. Mechanics see their queue on a tablet in the shop, and a workflow can flag overdue vehicles to a supervisor before one breaks down on a snow route.

Residents help too. A resident who spots a broken streetlight or a leaking hydrant can report it through the Citizen Action Center with a pin on the map and a photo, and staff can turn the report into a work order on the same calendar.

Preventive maintenance for water and sewer pump stations

The EPA's Guide for Evaluating CMOM Programs at Sanitary Sewer Collection Systems says pump stations should be inspected and maintained on a regular schedule, and that emergency repairs should be a small share of the maintenance budget, around five to ten percent. It lists what an effective preventive maintenance program includes:

  • trained personnel;
  • scheduling based on knowledge of the system, which the Master Calendar carries for each pump and main;
  • detailed instructions for maintaining each piece of equipment, which can start from the manufacturer's requirements and specifications linked on the asset record;
  • a system for recordkeeping, which the finished work orders build up on each asset;
  • history and records of the system, which sit on the asset and property records.

Utility authorities on Diversified Billing already keep their meters and properties on the same platform. One work order app serves every department, so a field worker's tablet can carry meter reads from billing beside preventive maintenance on pumps and grinder pumps from operations.
