Meet the OPEX Falcon Automating Lockbox Payment Processing Diversified Technology’s Managed Services group generates some 8 million utility and tax bills per year on behalf of its clients. The good news is many of those bills turn into payments mailed to a lockbox the group maintains for its clients. The bad news is all of those payments have to be processed and posted to various client’s accounts in Diversified Billing. Not a trivial task. So the company recently invested in a piece of mail-handling technology to process this torrent of mail quickly and efficiently … without increasing head count. The OPEX Falcon is designed for high volume document processing, streamlining the payment processing workflow, while reducing preparation time and data entry tasks. The OPEX Falcon runs a two-step process. First, an operator feeds it a stack of unopened payment envelopes. The Falcon then slits open the envelope and presents them to the operator. The operator then removes the contents and verifies that the check amount matches the amount due on the bill stub. If there is a match, the operator feeds both the check and the bill stub back into the Falcon. The machine scans each document and posts data to two different files. One file is used to quickly post new payments to each bill payer’s account. The second file is prepared in Check 21 format and sent to the client’s bank as their direct deposit.The OPEX Falcon is just one example of how Diversified Technology is dealing with the same challenging staffing environment faced by each of its clients. Clients can take advantage of this efficiency by outsourcing some, or all, of their more labor intensive tasks.
